MAKING A PTO FUNDING REQUEST

The purpose of the PTO is to promote the education and welfare of children by providing educational enrichment through monies raised by fundraising. Any teacher, administrator, staff member, parent or student may request funds by completing the Common Grant Application Request.   All requests in any dollar amount must be submitted in writing using this form.

Please fill out the request form completely and with as much detail as possible. You may attach extra sheets of paper to include catalog pages, pictures and anything that will help the PTO understand the scope and nature or your request. Also, please attach the quotes or bids to your application. If possible, please get at least two quotes to ensure that we are paying a competitive price. This will expedite our approval process. Remember that PTO generally will only fund items of educational value to our students. PTO does not fund salaries and gives low priority to furniture, office equipment and carpeting. Also, purchases that will become part of the ongoing curriculum should be incorporated in the department’s budget for the following year as they will not be funded by the PTO in subsequent years.
After completing the form, please have your building principal review and sign. The principal should retain one copy.

The PTO will evaluate the request and let you know if funding is granted or denied. If a request is granted, a school secretary can issue a PTO Purchase Order for the item(s). The original is mailed to the vendor and a copy should be sent to Angie DeBernardo, the PTO Treasurer. By using the PTO Purchase Order, the vendor usually invoices PTO directly. If, for any reason, the item is defective or not what was ordered, please email Angie immediately to stop payment.
Alternatively, you may purchase the items with your own funds and then be reimbursed by PTO. In this case, send all receipts (or copies) to the PTO Treasurer and include a reference to the particular grant request for which you are seeking reimbursement. Also, please indicate where you would like the check delivered. Keep in mind that we are tax exempt, and PTO does not reimburse any sales tax paid. The school’s tax exempt number is 34-6000575 and should be used for all purchases so sales tax will not be assessed. Tax exemption forms are available from your school secretary.

PTO has several funding options when considering requests:

1. BUILDING FUNDS: Each school has its own PTO fundraiser and all monies earned are for that school’s use. Funding for purchases under $500 requires the approval of two PTO section chairs for that school. Funding requests over $500 must be evaluated by the PTO Financial Planning and Research Committee and approved at our monthly meetings. Building fund money is available throughout the year.
2. MAJOR DISBURSEMENTS: Funds for large dollar items are generally available in the spring. The time line for these requests will be outlined in a memo in December. The Financial Planning and Research Committee evaluates all major disbursement requests and makes recommendations to the General PTO for vote at the April PTO meeting. Major purchases may be approved earlier if monies are available and timing is a factor.
3. STUDENT ENRICHMENT FUNDS: Each year, PTO makes $1500 available to each school for enrichment activities. The school principal has discretion over the use of these funds. If you have an idea for an enrichment activity, please share it with your principal. Enrichment requests above $1500 may be granted through Building Funds or Major Disbursements.
4. PROFESSIONAL DEVELOPMENT FUNDS: Each year, PTO makes $1500 available to each school for professional development. The school principal must approve these requests prior to submission.
